Refunds and disputes
updated Oct 21, 2026This policy covers everything you buy from Physician in the Loop. All of it is digital. Nothing ships, so there is nothing to return.
Recorded modules, guides, kits, memberships and subscriptions
You can ask for a refund within 30 days of paying. We refund the full price, including any sales tax we collected. You do not need to give a reason.
- For a recorded module, a refund ends your access. Download links stop working.
- For a downloaded guide or kit, the same 30 days apply. A refund ends your access to its updates.
- For a subscription or license ordered by an organization, the 30 days run from the date you pay or the date we send the first edition, whichever is later.
- For Physician in the Loop Pro, the 30 days apply to the first payment and to each renewal charge. A refund ends your membership at once: your access to the Pro area and its guides ends, recall alerts stop, and Pro does not renew.
After 30 days we do not refund the period you have already paid for. There is one exception. If we do not deliver what we sold, for example a module that will not play, an edition we did not send, or a product we stop publishing, we refund the part that was not delivered.
If we have not sent the first edition of a Launch offer order by the date in the offer terms, you may cancel for a full refund.
Written briefs and claim checks
These are made to order, so the rule is different.
- Before we start work, you can cancel for a full refund. We tell you in writing when work starts.
- If we do not deliver by the time stated on your order, you can cancel and we refund anything not delivered.
- After we deliver, we do not refund. If a brief has a factual error that we can confirm, we correct it and send you the corrected brief at no charge.
Nobody can pay for a different grade or a different finding, and a refund or a dispute does not change what we have published.
How to ask for a refund
Use the contact form at https://physicianintheloop.org/contact/ or email [email protected]. Give the name and email on the order, or the invoice number.
We reply within 2 business days. If the refund fits this policy, we issue it within 5 business days of our reply.
A refund goes back to the way you paid. Card refunds go to the same card. If you paid an invoice by bank transfer, we return it to the account that paid, and we may ask you to confirm the account details in writing. Your bank decides how fast a refund appears. It often takes several business days.
Disputes
A charge you do not recognize. Charges appear on your card statement as PHYSICIANINTHELOOP. If you do not recognize one, contact us first. We can usually explain or fix it in days.
A dispute with your bank. You are free to file one. If you do, we send your bank the order record, the delivery record and this policy, and the bank decides. If we find the charge was wrong, we refund it and tell the bank we do not contest it.
An invoice you question. Tell us in writing which line you question and why. You can pay the lines you do not question on their due date. We reply within 2 business days and tell you what we found and what we will do.
