Terms of Sale

updated Oct 27, 2026

Effective Oct. 27, 2026.

These terms apply when you buy anything from Physician in the Loop on this site or by invoice. By placing an order, you agree to them. Please read them with our other policy pages: What we sell, Refunds and disputes, Cancellation and Offer terms. Those pages are part of these terms. If these terms and one of those pages ever differ, the one that is more favorable to you applies. Our privacy notice explains how we handle your information.

"We" and "us" mean the seller named in section 1. "You" means the person or organization that buys. If you buy for an organization, you confirm that you may agree to these terms for it.

1. Who sells

Physician in the Loop is a trade name of Nomad Medical Group PLLC, a Colorado limited liability company. When you buy from us, your contract is with Nomad Medical Group PLLC, doing business as Physician in the Loop. Invoices and receipts name the seller that way. Card charges appear on your statement as PHYSICIANINTHELOOP.

2. What we sell

We sell digital information on AI and new technology in medicine: Physician in the Loop Plus and Physician in the Loop Pro, annual memberships for physicians and practice staff; recorded modules; law alerts; board modules; research briefs and claim checks; and guides and toolkits. What is on sale now, what each product includes, its price and when it goes on sale are on What we sell. We take no orders for a product before its on-sale date.

Everything we sell is delivered online. Nothing ships.

A free account costs nothing and is not a purchase. What we sell says what it includes, including its limit of 3 full articles a calendar month.

If your organization signs an order form or a written agreement with us, that document controls where it differs from these terms. Otherwise, these terms apply to orders paid by invoice as well as to orders paid on this site.

3. Prices, payment and taxes

Prices are in U.S. dollars and are the prices shown on What we sell when you order. Where What we sell asks you to contact us for a price, the price is the one we state in writing before you pay. Any sales tax we charge is shown at checkout or on the invoice before you pay.

Individuals pay by card on this site. Card payments are processed by Stripe, our payment processor. We do not store your full card number.

Organizations can pay by invoice, by bank transfer or by card. Invoices are due 30 days from the invoice date, unless the invoice or a signed order form says otherwise.

We may change prices for new orders at any time. A price change never changes an order you have already paid for. Plus and Pro have their own rule in section 4.

4. Physician in the Loop Plus and Pro: automatic renewal

Plus is $99 a year and Pro is $249 a year, each billed once a year. Each renews automatically every year, on the date you joined, until you cancel. What each plan includes is on What we sell.

Who can join. Anyone with a free Physician in the Loop account that is verified by NPI or a confirmed work email address. An account opened with a stated role only can join once it is verified. You buy Plus or Pro from your signed-in account.

What we tell you before you pay. Directly above the agreement box and the pay button, the checkout shows the plan's renewal terms. For Pro they read: "Physician in the Loop Pro is $249 a year and renews automatically each year until you cancel. Today you pay the price shown at checkout, after any discount code. After that we charge $249 a year, on the date you joined, to the card on file, until you cancel. A discount code applies to your first year only. We email you a reminder 30 days before each renewal with the date and the amount. Cancel before the renewal date and we do not charge you again. If there is no card on file, Pro ends on the renewal date with no charge unless you add a card and renew from your account page before then. You can cancel online at any time from your account page or the link in your receipt, and you keep Pro to the end of your current membership year. You can ask for a full refund within 30 days of any charge." For Plus they read the same, with Plus in place of Pro and $99 in place of $249. Directly beside the pay button, in bold, it states: "By purchasing Physician in the Loop Pro, you agree to enroll in an automatic renewal contract." For Plus, it names Plus. Links to these terms, to Cancellation and to Refunds and disputes sit beside that statement.

Your agreement. Before the pay button works, you tick a box that reads: "I agree that Pro renews automatically each year at $249 until I cancel." For Plus it reads: "I agree that Plus renews automatically each year at $99 until I cancel." The box is never ticked for you. We keep a record of your agreement: your account, the time and the exact text shown to you. We keep that record while you are a member and for at least three years after your membership ends.

Discount codes. We may offer codes that lower the price of your first year or make it free. You enter a code on the payment page, and the price shown there is the price you pay today. A code applies to your first year only. Each renewal is at the full price above until you cancel. Each code has its own limits, such as a number of uses or an end date, and we may stop offering a code to new buyers at any time. Only one code can be used on an order, and codes do not apply to the upgrade to Pro. If a code makes your first year free, you do not need to give a card.

If there is no card on file. If there is no card on file, we email you 30 days before your renewal date. Your membership then ends on that date and we do not charge you, unless you add a card and renew from your account page before then. If you do, it renews at the full price, and then every year until you cancel.

Upgrading from Plus to Pro. A Plus member whose membership is set to renew can upgrade to Pro at any time from the account page for a flat $150, charged at once. If your Plus membership is set to end, renew it first. The $150 is the same on any day of the membership year. We do not prorate it, and we do not refund any part of the Plus fee, because the $150 is already Pro's price less Plus's ($249 less $99). Pro opens at once and lasts to the end of your current membership year. Your renewal date does not change. On that date your membership renews automatically as Pro at $249 a year, and every year after that until you cancel. Before you pay, the upgrade page shows these terms directly above the agreement box and the pay button, and you tick a box that reads: "I agree that my membership renews automatically each year as Pro at $249 until I cancel." Beside the pay button, in bold, it states: "By purchasing this upgrade to Physician in the Loop Pro, you agree to enroll in an automatic renewal contract."

Your receipt. After every charge, including an upgrade and a charge that a code brings to $0, we email you a receipt at once. It repeats the renewal terms above, says how to cancel and links to the page where you can cancel. Keep it for your records.

Your reminder. We email you 30 days before each renewal. The reminder says that your membership will renew unless you cancel, and gives the plan, the renewal date, the amount and how to cancel, with the cancel link. In a year when we plan a higher price, the reminder instead asks whether you agree, and your membership renews only if you do (see "If a plan's price or terms change" below).

Cancelling. You can cancel online at any time. Use the Cancel Plus or Cancel Pro link on your account page, or the link in your receipt or in the reminder. Each opens Stripe's customer portal, where you cancel without writing to us. When you cancel online, we email you a confirmation at once that states the date your membership ends and that we will not charge you again. You can also use the contact form at https://physicianintheloop.org/contact/ or email [email protected]. We confirm a cancellation sent that way in writing within 2 business days, and it takes effect from the time you sent it. Cancel before the renewal date and we do not charge you again. Your membership stays active to the end of your current membership year. Cancelling does not by itself refund a charge. The Cancellation page has the full rule.

Refunds. You can ask for a full refund within 30 days of your first payment, of any renewal charge or of an upgrade charge. A refund of a membership charge ends your membership at once: your access to the members' area and its guides ends, any alerts stop, and the membership does not renew. If you upgraded to Pro during that membership year, we refund the upgrade charge with it. A refund of the $150 upgrade on its own takes you back to Plus for the rest of your current membership year: the Pro guides close, you keep Plus, and your membership renews as Plus at $99 a year until you cancel. The Refunds and disputes page has the full rule.

If a renewal charge fails. We email you so you can update your card, and we may try the card again during the next 14 days. You keep your plan during those 14 days. If the charge has not gone through by the end of them, your membership ends, we do not charge you for the new year, and we email you to say so.

If a plan's price or terms change. A higher price applies to you only if you agree to it. If we plan to raise your plan's price, we tell you in your renewal reminder, 30 days before your renewal, and ask whether you agree. If you do not agree before the renewal date, your membership ends at the end of your current membership year and we do not charge you again. If we change any other term that affects your plan, we tell you in the same reminder, with how to cancel, and the change applies from that renewal. If sales tax ever applies to a membership, the reminder shows the total we will charge.

Features marked coming soon. What we sell marks some features as coming soon, including recall alerts. They are not available yet, and we do not promise a date. We add each one at no extra charge to the plans that list it when it is ready, and we email members when it opens. The price of each plan is for what it includes now.

Recall alerts, when they open. Recall alerts will cover AI tools you use, chosen from the tools we review: up to 10 tools you list with Plus, and any tool we review with Pro. We can alert only on tools we check. When we find an FDA recall posted for one of your tools, we email you. The FDA posts recalls only for products it regulates, such as medical devices, and many AI tools are not among them. Recalls are rare, so you may get few alerts or none. If nothing is posted, we send nothing. We do not promise to find every recall or to send an alert by any set time. An alert does not replace notices from the FDA or the tool's maker. We can miss a recall or send an alert late, so keep receiving their notices.

5. Refunds and cancellation for everything else

Refunds and disputes and Cancellation set out the rules for every product, and they are part of these terms. In short: you can ask for a full refund within 30 days of paying for a recorded module, guide, kit, membership or subscription. For a subscription or license ordered by an organization, the 30 days run from the date you pay or the date we send the first edition, whichever is later. Briefs and claim checks can be cancelled for a full refund before we start work. If we do not deliver what we sold, we refund the part not delivered. Subscriptions and licenses for organizations do not renew automatically.

6. Information, not advice

Everything we sell is information. It is not medical advice, legal advice or financial advice, and it is not a substitute for the professional judgment of a physician, a lawyer, an accountant or any other qualified adviser who knows your situation.

  • We do not provide medical care. Nothing we sell creates a physician-patient relationship with anyone. Decisions about which tools to buy and how to use them in patient care are yours and your organization's.
  • We are not a law firm. Our law content describes laws and what is unclear about them. It does not create a lawyer-client relationship. Its questions are for your own counsel.
  • A brief reviewed by Physician in the Loop's physician editor, a board-certified physician, is that physician's reading of the published evidence on a tool. It is not advice about any patient.
  • Our grades are our assessment under our public rubric. Nobody can pay for a different grade or a different finding, and a refund or a dispute does not change what we have published.

Please do not send us patient information, with an order or otherwise.

7. Accuracy and corrections

We check what we publish against its sources, and we cite them. Laws, products and evidence change, and we can make mistakes. We do not promise that any product is complete, current or free of errors.

When we confirm a factual error, we correct it. For a brief with a factual error we can confirm, we send you the corrected brief at no charge. If you think something is wrong, tell us through the contact form.

What we sell describes how we decide when to open orders for law content, including our monthly audit of the law map. That describes how we run the business. It is not a promise that any single entry is correct.

8. Limits of liability

This section does not limit our liability for fraud, for harm we cause on purpose or through gross negligence, for death or bodily injury caused by our negligence, or for anything else the law does not allow a contract to limit. It does not reduce any refund you are owed under our policy pages.

Otherwise:

  • Our total liability to you for all claims about your purchases or our products, under any legal theory, is limited to the greater of the amount you paid us in the 12 months before the event that led to the claim, or $100.
  • We are not liable for indirect or consequential losses, such as lost profits, lost revenue or the cost of buying a replacement product or service.

9. Your license to use what you buy

Everything we sell is protected by copyright and belongs to us or our licensors. When you pay, we give you a limited, non-exclusive license that you cannot transfer. It lasts while you have access, except as this section allows for copies downloaded during a membership year.

  • Plus, Pro, guides and kits. You may read, download, print and use the guides, the 30-day trial plans and the read-out templates inside your own practice, meaning the medical practice, clinic or hospital department where you work. You may share copies with colleagues and staff of that practice for its own work, and fill in the templates. What you write into a template is yours; we do not see it unless you send it to us.
  • A site ticket. Everyone at the one facility named on the order may use it.
  • A subscription or license for an organization. The readers, facility or organization that the order and What we sell describe may use it.
  • A ticket for one person. That person only.

You may not resell our products, publish or post them publicly, share them outside your practice or organization, remove our name or dates from them, or use them to build a product or train an AI model. You may quote short passages with credit to Physician in the Loop. Your account and your membership are for you alone; do not share your sign-in.

After a refund, your access to what that charge paid for, and to its updates, ends, as Refunds and disputes says. After a membership year ends without a refund, you may keep using copies you downloaded during that year inside the same practice. We do not update those copies.

If you break this license, we may end your access after telling you why by email. If we do, we refund the part of your term that we will not deliver.

10. If we stop a product, or cannot deliver

If we stop publishing a product you have paid for, we tell you by email and refund the part of the term that was not delivered. If something outside our reasonable control delays delivery, we tell you, and the refund rules still apply.

11. Governing law, and where we sell

Colorado law governs these terms and any dispute about them, without regard to its rules on conflicts of law. If you buy as a consumer, you keep any protection that the law of the state where you live gives you and that cannot be waived.

Our products are written about U.S. law and U.S. regulators, and we sell them to buyers in the United States. If we learn that an order comes from outside the United States, we may cancel it and refund it in full.

12. Disputes

If you have a problem, please contact us first (section 14). We reply within 2 business days, and most problems can be fixed quickly.

If we cannot settle it, you may bring a claim in any court that has jurisdiction over it, including small claims court. If you buy for an organization, claims between us go to the state courts in Summit County, Colorado, or to the federal court for the District of Colorado, unless a signed agreement says otherwise.

You can still dispute a card charge with your bank; the Refunds and disputes page says what we do then.

13. Changes to these terms

We may change these terms for future orders by posting a new version with a new effective date. The terms in force when you bought stay in force for that purchase. For Plus and Pro, section 4 ("If a plan's price or terms change") says how a change reaches you.

If a court finds part of these terms unenforceable, the rest still applies.
